This Privacy Policy outlines how we collect, use, protect, and delete your information in compliance with the Information Technology Act, 2000 (India) and global data protection principles.

2. Information We Collect

We collect only the information necessary to provide our services:

  • Personal Information: Name, Email Address, Phone Number, and Billing Address.

  • Service Data (Source Documents): Files you upload or email for translation/transcription (e.g., Birth Certificates, Legal Plaints, Court Orders, Audio Recordings).

  • Business Intelligence: Pitch Decks, Financial Models, and Strategic Plans shared for consulting services.

  • Usage Data: Information on how you interact with our website (IP address, browser type) to improve user experience.

3. How We Use Your Information

Your data is used strictly for the purpose of service delivery:

  • To Provide Services: Translating documents, transcribing audio, or designing presentations as per your order.

  • To Verify Authenticity: Storing a secure “Digital Twin” of certified translations to allow for QR Code verification by third parties (Embassies/Banks).

  • Communication: Sending quotes, invoices, and completed project files.

  • Legal Compliance: Keeping records as required by Indian tax and business laws.

We NEVER sell, rent, or trade your personal data or source documents to third parties.

4. Data Security & Confidentiality

We employ bank-grade security measures to protect your sensitive information:

  • Encryption: All file transfers are encrypted using SSL/ TLS protocols.

  • Restricted Access: Access to your documents is strictly limited to the specific project manager and linguist/ consultant assigned to your case.

  • Non-Disclosure Agreements (NDAs): We are happy to sign a specific NDA with your organization for high-value projects.

  • Secure Storage: Digital files are stored on secure, encrypted servers with firewalls and intrusion detection systems.

5. Document Retention & “Digital Twin” Policy

  • Standard Projects: Source files and working drafts are typically retained for 30 days after project completion to handle any client revision requests, after which they are securely deleted from our active workstations.

  • Certified Translations (Digital Twins): For our “Premium Certified Translation” service, we retain a secure digital copy of the final signed/stamped document and its metadata for 6 months. This is mandatory to enable the Online Verification System (QR Code scanning) used by Visa Officers and Banks to verify the document’s authenticity in the future.

  • Deletion Request: You may request the permanent deletion of your data at any time by contacting anuvadts@gmail.com. Note: Deleting a Certified Translation record will render its QR Code verification invalid.

6. Third-Party Services

We may use trusted third-party service providers to facilitate our operations:

  • Payment Gateways: (e.g., Razorpay, Stripe) for processing payments. We do not store your credit card details.

  • Cloud Infrastructure:  Google Cloud Workspace for secure file hosting and access.

  • Analytics: (e.g., Google Analytics) to understand website traffic trends (anonymized data only).

  • Access: You have the right to request a copy of the data we hold about you.

  • Correction: You can request corrections to any inaccurate personal information.

  • Erasure: You can request the deletion of your personal data and documents (subject to legal retention requirements).
